Per-seat vs. flat-rate pricing
Most major CRMs price per user per month. As of mid-2026, published list prices for core CRM tiers run roughly $9–25/user/month at entry level (Zoho, HubSpot Starter, Salesforce Starter) and $25–100+/user/month at professional tiers. For a 5-person team, that's anywhere from about $50/month to $500+/month depending on tier — and every new hire raises the bill.
Flat-rate pricing (a fixed monthly price per plan, regardless of usage patterns within the seat limit) is less common but easier to budget. ASAI Engage, for example, is $49/month for a single user and $149/month for teams up to five — the price doesn't creep as you use more features.
The costs that don't appear on the pricing page
Onboarding fees: HubSpot's Professional tiers carry a mandatory one-time onboarding fee — historically around $1,500 for Sales Hub Professional and far more at Enterprise level. Implementation: Salesforce projects for even small teams commonly involve consultants, with typical small-business implementations quoted in the $10,000–50,000 range. Add-ons: AI features, extra automation, and integrations frequently cost extra or require a tier upgrade — check whether the AI assistant you saw in the demo is actually included in the tier you're buying.
The cost nobody budgets: your team's time
A CRM that takes weeks to configure, or that staff avoid because it doesn't match how they work, costs you in hours forever. A realistic all-in range: $50–200/month for a small team on an entry or mid tier with self-serve setup and no implementation costs, or $500–1,000+/month equivalent once you factor per-seat professional tiers plus amortized onboarding/implementation on the larger platforms. If a vendor can't tell you the total first-year cost in one sentence, ask again.
